[摘要]:外貿(mào)函電在雙方貿(mào)易往來過程中,起著溝通和橋梁的作用。那么,要寫好外貿(mào)函電,應(yīng)遵循什么原則呢?筆者在充分吸收前輩的理念的基礎(chǔ)上,創(chuàng)新地提出了“一點二線三面”的寫作原則。

函電在外貿(mào)業(yè)務(wù)中起著舉足輕重的作用,其目的是建立良好的業(yè)務(wù)關(guān)系,進行有效的溝通和交流,保持正常的商務(wù)往來。外貿(mào)函電的往來反映了買賣雙方磋商、交易的全過程,是雙方對交易條款的共同認可。因此,也是日后處理爭端的依據(jù),具有一定的法律效力。
那么,寫好外貿(mào)函電,究竟需要遵循什么樣的寫作原則呢?筆者認為,外貿(mào)函電寫作原則可以概括為:一點、二線、三面。一點指以效率為核心;二線指從一封函電的線性構(gòu)成上來講,要正確、簡明;三面指從一封函電的維度上來講,要完整、具體、禮貌。
一點:效率(Efficiency)
商務(wù)往來中,效率統(tǒng)領(lǐng)一切!外貿(mào)函電寫作亦應(yīng)以此為核心展開,并圍繞效率遣詞、造句、行文。時刻把握效率這個核心,則寫作過程中,必然要考慮到如何避免陳腐冗長,而使函電言簡意賅、一目了然(簡潔明晰);如何避免模糊空泛,而使函電生動具體(具體);如何輕重得宜、取舍合理,而使函電既重點突出又不失整體性(完整)。同時,寫出的函電如果不清楚明白,甚至出現(xiàn)謬誤,根本就是最大的不講究效率(正確)!而盛氣凌人、語氣粗魯?shù)暮姳厝粫p傷雙方的商務(wù)關(guān)系,甚至直接導(dǎo)致交易的失敗,這樣的函電與溝通更無效率可言(禮貌)。由此可見,一點是二線三面的靈魂(SOUL);二線三面為一點的具體表現(xiàn)(BODY)。
二線:正確、簡明
只有保持其準確、簡潔,這封函電才是忠實(于實際情況)的、易于理解的。
正確(Correctness):外貿(mào)函電必須正確,否則會引起誤解,給雙方帶來不便和麻煩。外貿(mào)函電常常是各種商貿(mào)文件如合同、協(xié)議的基礎(chǔ),常常涉及到雙方的權(quán)利和義務(wù),這是書寫時應(yīng)特別注意的首要問題。正確的外貿(mào)函電不僅要求英文語言表達正確,函電中的數(shù)據(jù)和其它信息也都必須正確無誤,同時,行文格式要符合規(guī)范,行業(yè)術(shù)語要運用恰當(dāng)。例如:Please amend L/C No. 286/694/C as follows: To increase the price from $0.49 to $0.57, and the amount to $31,905.00.
上例中所涉及到的數(shù)字稍有誤差,都會“失之毫厘,謬以千里”,結(jié)果不是造成不必要的損失,就是造成糾紛,甚至?xí)绊懸院蟮馁Q(mào)易活動??梢?,函電寫作者要具備實事求是的態(tài)度,認認真真的作風(fēng),既不能言過其實,也不能表達不充分。
簡明(Conciseness):簡明是指盡可能言簡意賅地、清楚地表達你所要表達的內(nèi)容,同時又無損于函電的完整、具體、禮貌。函電中沒有晦澀難懂、詞不達意的地方,也沒有含糊不清、容易引起歧義之處。具體來講,要使函電簡明,必須做到突出主題、簡化用詞、簡化句式。
突出主題指的是內(nèi)容簡明化,也就是說一封外貿(mào)函電應(yīng)圍繞一個主題,井然有序、有條不紊地展開,而不是象匹烈馬紛沓至來、毫無章法。一般情況下,函電的主題應(yīng)當(dāng)開門見山地提出,而無需羅列一些繁瑣的客套,讓人感覺轉(zhuǎn)彎抹角。例如,下面一封函電:
Dear Mr. Perry:
We have effected our payments to your invoices in accordance with the agreement between Summit Tech, Ltd. and BioTron Research, Ltd. on the terms of payment.However, as you can state, the terms of payment have not been respected on your side. Therefore, we would like to ask you to transfer all invoices due immediately to our bank. Please refer to the attached statement. In case of non payment, we will, to our regret, be obliged to protect our interests and you will receive a debit note for overdue interest.If, however, one or more invoices have not been paid because of any particular reason, then we would appreciate your remarks in writing.Should payment be effected in the meantime, then please do not take this letter into account.
We thank you for your cooperation in this matter.

在此例中,函電原文冗長含糊,羅哩羅嗦,沖淡了主題,且句式陳舊,不易理解。我們考慮將其做如下修改:
Dear Mr. Perry:
To date we have not received payment on several invoices, as shown in the attached statement. Would you please pay these invoices right away? We will otherwise have to charge you overdue interest.

修改后的函電正文只包括三個有禮而堅定的句子,內(nèi)容鮮明,一目了然,充分突出了這封函電應(yīng)該表現(xiàn)的主題。
簡化用詞指的是盡量使用小詞,避免使用大詞;盡量使用公認的規(guī)范的行業(yè)縮略語,避免使用其全稱。作為一種世界貿(mào)易語言,英語被一百多個非英語國家的商務(wù)人員在外貿(mào)書信中使用,而這些商務(wù)人員并非個個精通英語。因此,在選詞上應(yīng)注意選擇那些簡單的、為人熟悉并且符合常規(guī)的表達方法;避免使用那些復(fù)雜、生僻的用詞。例如,用expect替代anticipate,用use替代utilize,用lessen或ease替代alleviate,等等,都會促進收信人對函電的理解。另一方面,在長期的發(fā)展中,外貿(mào)行業(yè)逐步形成了許多約定俗成的專業(yè)術(shù)語和外貿(mào)縮略語,例如:L/C(letter of credit信用證),B/L(bill of lading提單),CIF(cost, insurance and freight成本加保險費加運費價格),EAT(estimated arrival time預(yù)計到達時間),TT(telegraphic transfer電匯),COD(cash on delivery交單付現(xiàn)),A/S(at sight即期),等等。把這些詞匯應(yīng)用在外貿(mào)函電寫作中,能使行文既簡潔又明了。
簡化句式指的是信函的句子要簡練,但求表達清楚明了;盡可能用單詞和短語來表達意思,而不用長句或從句;盡可能用現(xiàn)代英語來表達,避免使用籠統(tǒng)陳舊的套話。如下面兩例:
例1:
原句:This is to acknowledge the receipt of your invoice of April 30, 2006 (number 86-2325).(句式古舊、冗長)
修改:We have received your invoice of April 30, 2006 (number 86-2325).(修改后,句式現(xiàn)代、簡明)
例2:
原句:We are glad enclosing our Sales Confirmation No. XD008, in duplicate, and we hope sincerely that you could send back us one copy of them completed with your signature on it.(句子羅唆)
修改:We are enclosing our Sales Confirmation No. XD008, in duplicate, and one copy of which, completed with your signature, is to be returned to us.(修改后,句子簡明清晰)
三面:完整、具體、禮貌
只有做到完整、具體、禮貌,這封函電才是豐滿的、打動人的。
完整(Completeness):外貿(mào)函電應(yīng)力求完整,做到言無不盡,事無不整,無所缺失,沒有遺漏。一封函電必須為對方提供所需要的全部信息,答復(fù)對方所提出的一切問題,務(wù)必使所有的事情都得到闡述,所有的問題都得到答復(fù)。例如:經(jīng)過一系列磋商后,買方向賣方發(fā)購貨盤的情況:
Art. No. 37210 Direct-printed Shirting Design No. 64058
Specifications: 45X45/108X58/60\"
Quantity: 25,000 yards
Packing: In bales or in wooden cases at seller’s option
Price: US$ 0.56 per yard CIF Bombay
Shipment: To be made in three equal monthly installments, beginning from April, 2006
Payment: By confirmed, irrevocable L/C payable by draft at sight to be opened 30 days before the time of shipment.
這是一個完整的報盤,它包括貨物號碼、名稱、規(guī)格、數(shù)量、包裝、價格、發(fā)貨及支付方式等幾個項目,其中缺少任何一項,發(fā)盤都不完整,也會給日后交易埋下隱患。
具體(Concreteness):外貿(mào)函電涉及到雙方的實在利益,因此該具體時一定要寫得具體,避免模糊、空泛和抽象,特別是當(dāng)雙方磋商進入實質(zhì)性階段(如發(fā)盤、還盤、下訂單等)時,或就某些細節(jié)(如價格的確定、包裝運輸方式等)進行敲定時,或做出某種承諾時,或答復(fù)對方提出的某個問題時,應(yīng)盡量選用具體的事實和數(shù)字。
例一:
原句:We shall consider to reduce our price if your order is large enough.(籠統(tǒng)不清)
修改:We shall reduce our price by 1.5% if your order exceeds 3,000 pieces.(修改后,意思表達清楚且富有誠意)
例二:
原句:We are sorry for what you have experienced and agree to make a compensation for about US$50,000.
修改:We are sorry for the loss you have suffered and agree to compensate you by US$55,500.(修改后,用詞準確,數(shù)額具體)
禮貌(Courtesy):在現(xiàn)代商務(wù)往來中,禮貌原則越來越被放在突出的位置。一封禮貌的函電能使你在對方心目中樹立起熱情、友好、有良好的文化素養(yǎng)和職業(yè)道德的形象,使之愿意與你合作。因此,在撰寫外貿(mào)函電時,我們要尊重對方的感情和利益,體諒對方的要求和愿望,營造一種雙贏的局面,不要盛氣凌人、頤指氣使;要避免命令和粗魯,不要專斷和武斷。即使雙方在貿(mào)易中產(chǎn)生分歧,甚至提出索賠,也應(yīng)力爭避免激怒或傷害到對方,為今后合作打下基礎(chǔ)。
例一:
原句:I can’t go to the expo in Shanghai.
修改:I wish I could go to the expo in Shanghai.
例二:
原句:You should send us your latest catalog in return, OK?
修改:Would you please send us your latest catalog in return?
例三:
原句:We suggest that you improve the packing so as not to have such trouble in future deliveries.
修改:We hope you would improve the packing so as to prevent reoccurrence of such trouble in future deliveries.
四、結(jié)語
商務(wù)函電不同于一般私人信函:風(fēng)格上,它比私人信函更為正式;效力上,它是雙方認可的(必要時也是法律認可的)文書;作用上,它不僅可以左右一次買賣的成敗,更肩負著展現(xiàn)公司良好形象的任務(wù)。在撰寫時,商務(wù)信函應(yīng)盡量秉持上述“一點二線三面”的原則,做到正確、簡明、完整、具體、禮貌,講求效率。只有這樣,才能促進商貿(mào)往來,使彼此受益。
